Electronic signature in Plus Workflow
Faxing and sending paper documents slowly go out of the window. Consequently, an electronic signature is presently a pivotal work tool. As producers of a system for managing and archiving documents in electronic form, we know this best. The demand for new solutions, such as an electronic signature, is increasing at a breakneck pace. Certainly, this is due to the fact that the growing number of offices accept, for example, financial settlements only in an electronic form.
The demand for the electronic signature is ever-increasing, as it may considerably facilitate the process of submitting reports and signing contracts. It is definitely a catchy topic, which seems to be supported by the fact that the phrase “electronic signature” has been entered in Google 100,000 times in the only one month. No wonder that as a BPM system producer, Suncode cooperates with renowned electronic signatures distributors. The qualified electronic signatures (QES) delivered by the renowned producers are a perfect supplement to the Plus Workflow system. All of these with the purpose of fulfilling our clients’ needs.
What is an electronic signature?
An electronic signature, otherwise known as a digital signature, is a way of confirming and checking the authenticity of the signed documents. This method uses digital data and mathematical algorithms with encrypted information. As the safety rules in the case of the creation of electronic signature are crucial, a proper signature needs to be assigned to only one person. Consequently, there may be distinguished two types of signatures, standard electronic signature, and secure qualified signature. The standard version is not a qualified signature, as it fails to possess a certificate and is used mainly for sending an electronic correspondence. A QES, on the other hand, may safely be used in court letters, or tax returns.
An electronic signature has the same legal force as the one signed in person. A QES is mainly used in the following situations:
- submitting e-declarations to Social Insurance Institution,
- submitting e-tax returns,
- signing commercial and contractual agreements,
- accepting electronic invoices,
- accepting HR documents,
- submitting documents to bureaus, e.g. CEIDG, National Court Register.
Why choose an electronic signature?
An electronic signature accelerates tasks performed by an entrepreneur. This solution is a real time-saver, as all the administrative tasks, such as sending agreements, reports or trade offers may be performed from one place. Additionally, it eliminates unnecessary expenses for office supplies e.g. envelopes, postage stamps, or printer ink.
